Business Operations Manager – Practice Admin
Tully Rinckey, a mid-sized full-service law firm with offices throughout New York State, Washington, DC, Texas and California is seeking a Business Operations Manager to join our Practice Admin team. This position will be based out of the Firm’s Latham, NY office.
Reporting directly to the Director of Operations, the Business Operations Manager – Practice Admin, will provide administrative oversight and support to the Firm’s Practice Groups. This role will assist with streamlining workflow and communication between Attorney’s across the Firm. The right candidate for this position must have excellent communication skills and be able to work both independently and collaboratively on projects. The ideal candidate must be willing to shift priorities at moment’s notice and have a strong interest in learning and contributing to the business side of a Law Firm while actively corresponding with attorneys.
Responsibilities include:

  • Daily and weekly phone calls with Firm Attorneys to assist with delegation
  • Compile billable hours reports from Finance data and send to attorneys and Managing Partners on a monthly, quarterly and annual basis
  • Utilize Finance reports to schedule and lead billable hour meetings with attorneys throughout the Firm alongside the Director of Operations and Managing Partners.
  • Track, resolve and escalate items brought to Practice Administrator
  • Calendaring internal deadlines on assignments and communicating with attorneys to ensure all parties are tracking the assignment (using the Firm’s case management and billing systems)
  • Ensuring top level communication is taking place within each Practice Group on case files
  • Ensuring that standard Firm policies and best practices are being used within each Practice Group
  • Monitoring the scheduling and completion of monthly file audits between attorneys while acting as the main facilitator between attorneys and legal support to ensure completion
  • Auditing litigation plans within every new file that is opened inside the Firm’s Case Management System
  • Managing and constantly updating the Firm’s Brief Bank for all Practice Groups
  • Organizing all Monthly internal Practice Group training sessions, to include working with the presenting attorney to develop training material
  • Providing direct assistance to Practice Heads on ad-hoc projects to decrease attorney admin time
  • Facilitating the ramp-up of new attorneys and tracking their progress within their practice groups
  • Assist with case transfers and client communication when needed
  • Providing direct assistance to the Director of Operations on ad-hoc projects

Qualifications

  • Bachelor’s degree in business or admin focused field from an accredited college or university
  • 2-3 years of admin focused experience (Prior Experience at a Law Firm or Legal Service Provider/Consultant is preferred)
  • Knowledge of Microsoft Office and technology (Prior Experience with Legal Case Management Systems is a plus)

Job Type: Full-time – Monday to Friday, 8:30am to 5:30pm (In-Office)
Salary: $50,000 to $65,000
